About Visual One Packages

  1. A package code can be advertised to the public or made accessible only to certain bookers. This is controlled from the b4checkin Admin Site.

  2. A package code cannot contain spaces or these special characters:

    :

    /

    ?

    #

    [

    ]

    @

    !

    $

  3. Each package to be sold on chameleon™ must be selected as "available on web" on the package set-up screen in Visual One.

  4. All packages to be booked on chameleon™ must be mapped in the Agilysys OTA Monitor. Requirements for OTA Monitor mapping are described in the section below.

  5. Package codes cannot match an existing tariff code in Visual One.

  6. If a package has a tariff attached, the tariff must be built in the chameleon™ Admin Site.

  7. The "effective through" date must match the start and end date of the package.

  8. The arrival day of the week must be set so that the first day is the earlier day of the week. Example: Wednesday to Thursday will work, but Thursday to Wednesday will not work.

  9. Package Restrictions Hierarchy:

    1. Package restrictions must be set on the package yield module or daily restrictions.

    2. chameleon™ always looks to the daily restrictions first.

    3. Package restrictions are only used if the daily restrictions permit the reservation.

    4. If a tariff is associated with a package, and “Ovr Pkg Restrictions” flag is set on the tariff, chameleon will look at the attached tariff yield restrictions instead of any restrictions set on the package yield.

  10. The following daily info restrictions will be respected:

    1. Closed to Arrival

    2. Closed to Departure

    3. No Sell Through

    4. Minimum Nights Stay

    5. Minimum Nights Stay Through (note: this is not based on arrival date)

    6. Oversell

  11. The following package yield restrictions will be respected:

    1. Closed

    2. Closed to Arrival

    3. Closed to Departure

    4. Minimum Nights Stay

    5. Maximum Nights Stay

  12. Extra person charges:

    1. Extra person charges may be set on the package and are respected by chameleon™.

    2. If you wish to use the extra person charges on an associated tariff, the "Add Attached Tariff EPC To Package" setting under PMS Settings on the property record must be selected. If selected, you may use package or tariff restrictions and these will add together in chameleon™.

  13. Packages can have a tariff attached: the room rate will pull from the tariff and the components will pull from the package.

  14. Packages do not have to have a tariff attached: the room rate and components will pull from the package.

  15. chameleon™ does not interpret availability specific to a package; availability is always pulled from general inventory for packages.

  16. If using package yielding, the property must set the values specifically on the package yield screen. The property could have restrictions set on the package itself, which may transfer through to the package yield view, but not necessarily to chameleon™. The property must ensure that they set the values on the package yield.

Mapping a Package in the OTA Monitor for chameleon™

All packages that you wish to sell through chameleon™ must be mapped in the OTA Monitor.
All packages associated with group booking IDs must be mapped in the OTA Monitor.

Below are the OTA Monitor requirements for chameleon™. Note: it is also possible that Agilysys may require other items to be set up in the OTA Monitor for other PMS related purposes.

To map a package in the OTA Monitor, the following is required:

  1. All packages to be booked on chameleon™ must be mapped in the Agilysys OTA Monitor. This includes those packages that may be associated with booking IDs.

  2. The "rate plan" field must match the package code exactly. This field is case sensitive.

  3. The package must be selected in the package drop-down menu.

  4. If the package has a tariff attached, the "package tariff" must also be selected in the drop-down to the right of where the package code is specified.

  5. "Use Custom Market Segments" check-box should be selected and the appropriate codes need to be associated.

Adding a Package

The following must be complete in Visual One prior to building the package in the b4checkin Admin Site:

  1. The package and associated tariff must be built in Visual One.

  2. The package must be marked "available on web" on the individual package set-up screen of Visual One.

  3. The package must be mapped in the OTA Monitor with the associated segment and origin codes.

See Visual One PACKAGES & chameleon™.

Once those steps are complete in Visual One, you can build the package in the b4checkin Admin Site:

  1. If the package has a tariff attached, ensure that the tariff is built in the chameleon admin prior to completing the below steps. See section labeled Agilysys Visual One Tariffs & OTA Monitor Mapping.

  2. Select "Rate Plans" then "Manage Rate Plans".

  3. Select "+ Add a Rate Plan".

  4. Select the "Rate Plan Type" as Package from the drop-down.

  5. Active: allows the package to be bookable on chameleon™.

  6. Is this default for property: causes chameleon™ to use this as the default tariff.

  7. Sort Order: controls the order tariffs appear in the tariff drop-down menu and, if enabled, on the special offers page.

  8. Rate Plan Code: the package code as created in Visual One.

  9. Hours to Cancel and Change: the number of hours within which bookers are not allowed to change or cancel online.

  10. Show in Drop-down Menu: if the package is to be publicly accessible this lists the package in the chameleon™ drop-down menu.

  11. Show on Special Offers Page: Includes the package on the Special Offers page, if activated.

  12. Is Used for Min Prices: Includes the package in the "prices from" feature of chameleon™.

  13. Room Type ID for Min Prices: if the previous item is selected, a room type must be selected. The price for this room type will be used in the "prices from" feature of chameleon™.

  14. Logo: a logo for the package can be displayed on the Special Offers page, if activated, and, for UX2 only, on chameleon™'s front page of offers.

  15. All packages must have a name and description. The description will appear when the (info) is selected in chameleon™, as well as on the Special Offers page, if activated.

  16. Save.

  17. Note: If the Admin Site indicates that the package already exists, check the "Inactive Only" section of rate types to enable this package.

Editing a Package

Should you wish to adjust the prices, extra person charges, restrictions, yielding parameters, segment codes, or origin codes for a package, the appropriate adjustments must first be made in Visual One.

The most common edit to chameleon™'s behaviour for a package is the addition or removal of the package from the drop-down menu, or an adjustment to the description of the package. To do this:

  1. Select "Rate Plans" then "Manage Rate Plans".

  2. Select the edit button next to the package in question.

  3. Adjust the fields required.

  4. Save.

Removing a Package

A package can be removed from chameleon™ in two ways - by deleting the Rate Plan or by de-activating the Rate Plan.

  1. Select "Rate Plans" then "Manage Rate Plans". Select the (error) symbol on the right of the package in question. Save. The package is deleted and no longer accessible online.

  2. Select "Rate Plans" then "Manage Rate Plans". Select the edit symbol on the right for the package in question. Deselect the "active" box. Save. The package is disabled and no longer accessible online.
