Introductory Email

The Project Manager at b4 sends our Introductory Email to the customer contact as soon as possible after the contract is received.

Normal on-site contacts to become involved include...

1) a primary contact you regard as the On-Site Project Manager for the implementation
2) an IT representative for the site
3) an Accounting rep who has knowledge of the property's payment processing accounts

The customer team may opt to include others - often those who manage the points of sales for which payments will be collected online.



10-Day Project Objectives


  1. The Customer will normally designate an On-Site Project Manager for the implementation who is familiar with the PMS, knows who to involve for quick decisions, and manages the implementation details on-site.

  2. From the point that all pre-requisiites are in place, most implementations are normally complete within 10 business days or less. This is a very flexible guideline of typical timings.

    Day 1 - pre-requisites, demo, decisions & info
    Days 2 & 3 - gather and submit decisions & info
    Days 4 & 5 - build & styling
    Days 6 & 7 & 8 - test & troubleshoot
    Days 9 & 10 - user training, how to contact support & release

  3. If the on-site team becomes unresponsive, we try to re-establish contact at least weekly for three weeks before moving the project into 'stalled MIA' status, at which point Sales may also assist in trying to revive the contact for three additional weeks prior to cancellation.


Pre-Requisites


Pre-requisites are supporting products and conditions that must be in place or must be confirmed before the project can proceed in earnest.


  1. Who is your On-Site Project Manager for this Implementation?

  2. If your PMS (property management system) is a new installation, it must be fully installed, and you must be comfortable with the configuration of revenue and payment types.

  3. You must be running Opera version 5.5.21 or higher.
    You must be running Agilysys LMS version 7.3.4 or higher. If Refunds and City Ledger Payments are required, version 7.4.4 or higher is required.

  4. For new properties, confirm that the DNS has been created for your main website domain and your web server domain, by having your domain registrar register the URL. Propagation following creation can typically take 48 to 72 hours.

  5. You will need to acquire an E-Commerce MID through your Payment Gateway provider (such as 3C, Authorize.Net, Beanstream, Elavon Fusebox, FAC, Freedom Pay (rGuest Pay for Agilysys), Merchant Link, Shift4), and advise b4checkin of the credentials for your E-Commerce Merchant ID. The Start Date for the 10-Day Project Plan cannot be earlier than one week before the eCommerce MID is scheduled for installation.

  6. Confirm that your web server TLS is set to 1.2.

  7. b4 will start the build and styling at the earliest possible date. Normally, we emulate your website design, borrowing design elements from there. If you have a Style Guide that outlines specifications for your branding elements, please send it immediately.

    If you wish a specific background photograph to be featured - like the sample in our Demo Site - please include the image file (JPG or PNG at 1920 pixels wide x 1440 pixels high). The logo image for the page header of TransForm (b4easypost) must be 110 pixels high.

  8. Be prepared to involve everyone on your team who will use or manage TransForm (b4easypost), normally including at least IT, Front Desk, Reservations, Accounting, Group Sales.

  9. For integration with Opera, the Kiosk Interface by Oracle (Product ID 5100-041/OPP-KSK) must be installed and tested.

    If the Kiosk is new, instruct the Oracle Technician who is installing your Kiosk to contact Kees Keun, b4's IT & Support Manager (kees@b4checkin.com) as soon as Kiosk is running, so that connectivity testing can be carried out on the day of installation.


    Confirm that the DNS has been created for your Kiosk Web Service URL by having your domain registrar register the URL. Propagation following creation can typically take 48 to 72 hours.

  10. For Opera, create a new User record for TransForm (b4easypost) (Setup -> User Configurations -> Users) with Login Name B4CHECKIN, and with Cashier permissions. The password must be all in CAPS.


    Under the User, set the Application Access Control to PMS.

    Set Property Access (Prop Acc.) to the applicable property. This example happens to list multiple properties.

    Set Permission to include Cashier Deposits and Post Payment



    Provide the Username and Password to b4checkin.


    For Agilysys LMS, create a dedicated 'deposit cashier' with Cashier ID = EZ and Cashier Name = EZPOST CASHIER (or similar)


b4 IP addresses to white-list


To enable b4checkin products to communicate with your systems, with interfaced products,
your IT team must white-list our IP addresses on port 443 of your web server.

SSL Certificate Validity


An integral component of PCI Compliance is your ability to collect credit card details securely. To do so, your web server must have a valid SSL Certificate, which enables your payment transactions to occur through webpages which begin with https:// and which display the lock icon, indicating that data submission is encrypted and secure.

Confirm your web server has an SSL Certificate which will be valid throughout the implementation of our product(s) by entering your domain name into an SSL Certificate Checker.




About SPF

SPF stands for Sender Policy Framework.

It is a globally supported system that helps to protect domain names and their owners from being spoofed by spammers. It does this by allowing a domain name owner to publish a policy which declares where emails can originate from. It doesn't prevent spoofed emails from being sent, but it allows incoming email providers to verify the source of an email and take appropriate action.

Update your mail server’s SPF Record

Your IT Department or provider must update your mail server SPF record to include authsmtp.com before "-all" in your existing SPF record.


A 'typical' SPF record will be similar to this example:
"v=spf1 a mx include:authsmtp.com -all"


Verify the update was successful by going to https://mxtoolbox.com/spf.aspx, entering your Domain Name and selecting SPF Record Lookup. When your Domain details are displayed, check for entries in the "Type" and "Value" columns that indicate Type "include" and Value "authsmtp.com".

Authorize b4 to send from your email addresses

All email addresses under your domain that you wish b4 products to send emails FROM on your behalf must be authorized by you in our mail server. You provide your authorization to us through authSMTP.


When you provide us with any address you wish us to send from, we enter that address into our account at authSMTP, which triggers an email TO that same email address. The email advises whoever monitors the email address you provided that steve@b4checkin.com is requesting your permission for authSMTP to send from the address.

To provide your permission, follow the click-through instructions in the request.

Let your b4 Project Manager know once you have approved each authSMTP request for each email address you will be using so that we can configure your FROM addresses and notifications in your installation.

If your workplace uses GMail addresses or Google workstations ...

  1. Two-factor authentication (2FA) should be used on your GMail account, which requires a special pairing password be generated for 3rd party senders.

    This avoids any requirement for you to share your actual GMail credentials with us. Is this already enabled? If you need assistance setting this up, please contact your Project Manager at b4.

  2. Are your GMail accounts setup as business accounts?  Non-business accounts can only send ~20 emails an hour or 500 a day.  Going over this limit regularly can lead to GMail temporarily suspending the account. Registering the address with GMail as a business email enables upwards of 2000 emails a day.

    Note that each recipient is counted as a send; so, one email sent to a guest that is also BCC’d to you would count as 2 sends.

Generate an App password from your GMail account for b4


Once 2FA is set up on your GMail account, you must generate an App password to provide to us, as follows:

  1. Go to your Google Account.

  2. Select Security.

  3. Under "Signing in to Google," select App Passwords. You may need to sign in. If you don’t have this option, it might be because:

    1. 2-Step Verification is not set up for your account.

    2. 2-Step Verification is only set up for security keys.

    3. Your account is through work, school, or other organization.

    4. You turned on Advanced Protection.

  4. At the bottom, choose Select app and choose 'Mail' then 'Select device' and choose 'Other' then provide the name "B4Email" and finally select 'Generate'.

  5. Please use https://password.link/ and copy the password generated (the one with the yellow background) and paste it in the "secret" text box,  click Encrypt and create link.

  6. Email that link to ryan@b4checkin.com and he will complete the setup.

    Steps 5 & 6 keep your unique code as secure as possible and will "self-destruct" once we have retrieved the password.


Sign-Now add-on (for Document Management)

What is the optional SignNow add-on?

SignNow is the Document Management add-on that complements b4easypost and/or chameleon™ perfectly, providing online management of contracts and any type of business document that requires signature(s).

SignNow lets you get contracts signed and, when used with b4easypost, to collect payments and deposits at the same time as the contract is signed.

If you have purchased SignNow from b4checkin, your Project Manager at b4checkin will need the following information to set up your SignNow account.
