Pre-Arrival - an email sent a single designated number of days prior to arrival, most commonly 3 or 7 days; typically includes up-selling information aimed at encouraging higher spend
Post-Stay: an email sent a single designated number of days after departure, most commonly 2 or 14 days; may wish to replace with b4feedback survey invitation
Mid-Stay: an email sent 24 hours after the guest has arrived; commonly includes up-selling information
Email purchase options:
chameleon™ automatically includes the option to send confirmation, change and cancellation emails at time of transaction
b4mailer may be purchased as a stand-alone product or to accompany chameleon™
b4mailer includes the option to send confirmation, change and cancellation, pre-arrival and post stay emails for all guests, regardless booking method
b4mailer includes the optional manual email tool which enables property personnel to manually send or re-send emails

b4arrival is an add-on for sending online check-in emails (pre-arrival services) to all guests, regardless of booking method
b4receipts is an add-on for sending paperless receipt emails for speedy check-out services and to reduce folio printing upon check-out
Functionality available for all email types:
- Styling of a single email template by b4checkin; design cannot vary by date range, segment, or origin
- Text for a single email template by b4checkin; text cannot vary by date range, segment, or origin
- Emails can only be multi-lingual by including multiple languages within the same email
- Bounce backs are sent to the property address from which the email was sent
- More than one address can be copied on all outgoing emails - not including pre-arrivals or post-stays
- Custom Terms & Conditions can appear if configured by Rate Type in chameleon™
- Banner links can be customized from the Messages section of the b4checkin Admin Site
- If a recipient responds to an email, the response sends from the property email address from which the original email was sent
- Functionality available for b4mailer, chameleon Plus, chameleon Best:
- Confirmation and cancellation emails send every 20 minutes; see note on Change emails below
- Pre-Arrivals, Post-Stays and Mid-Stays send once a day at 6AM AST, unless an alternate time is specified by the property.
- Pre-Arrivals are not sent to any booker who books later than the specified lead time. Example: If Pre-Arrivals are scheduled for 7 days prior to arrival, guests who book 6 days or less in advance do not receive a Pre-Arrival email
- Functionality for Confirmation, Change and Cancellation emails:
- Any of these can be turned off and sent manually instead, an option frequently used for changes and cancellations
- Dynamic room images: one of the three possible images loaded in chameleon™ for the specific Room Type that has been booked can appear on the confirmation email. If the property has additional Room Types that do not appear in chameleon™, they must provide images for those Room Types separately
- Emails by Room Group: email text can vary based on which Room Group the reserved Room Type is in
- Display deposit taken: if using a payment gateway in chameleon™, emails can show the deposit paid at time of reservation
- Display remaining balance: if using a payment gateway in chameleon™, emails can show the remaining balance after the deposit
- Omit origin codes: guests with specified Origin Codes can be excluded from receiving emails
- Daily Change trigger: to prevent sending a Change email each time an internal change is made, Change emails trigger only once per day at 8PM AST, or at a time specified by the property.
- Any of these can be turned off and sent manually instead, an option frequently used for changes and cancellations
- Functionality for Pre-Arrival and Post-Stay emails:
- Either of these emails can be turned off, typically used for post-stays if b4feedback survey invitations are also sent
- The property can specify how many days prior to arrival the Pre-Arrival is to be sent; those who book with a shorter lead time than this threshold will not receive the Pre-Arrival
- The property can specify how many days after departure the Post-Stay is to be sent
- Omit origin codes: guests with specified Origin Codes can be excluded from receiving Pre-Arrivals and Post-Stays
- Either of these emails can be turned off, typically used for post-stays if b4feedback survey invitations are also sent
- Functionality for b4receipts (Paperless Receipt) emails:
- Can automatically be sent when a designated guest preference is manually selected by the property team or can automatically be sent to all guests unless the guest preference is manually selected by the property team

- Properties may not edit email content without assistance from b4checkin
- Emails may not be controlled by segment code, origin code, date range, rate plan or room type
- Open rates are not tracked
- We cannot designate specific field to trigger Change emails; Change emails trigger if any change has been made, including internal changes that do not affect or interest the guest
- Cannot currently use different BCC addresses on different email types
- Cannot currently use multiple FROM addresses for different emails
- Activities bookings cannot be included on emails
