Reservation Email Sending Tool


The Manual Reservation Email Sending Tool is an option for available to those who have purchased b4mailer and want to be able to send or re-send b4checkin emails manually.

  1. This tool is only built upon request; it is not automatically included with the chameleon™ build.

  2. This tool is not connected to the email program within Visual One. Only Visual One emails can be triggered from within Visual One. You can only access this b4checkin tool through the link provided, and not through Visual One. 

  3. b4checkin emails are not recorded by the transaction log within Visual One. That log only includes emails sent by Visual One, and cannot be used to confirm sending of a chameleon™ or b4mailer email. To confirm if b4checkin emails were sent, you must access the email inbox for the address being used to send your reservation emails, as it is that address that is being copied on all outgoing reservation emails.

  4. The emails to be sent is dictated by the status of the reservation.

    1. CANC status will trigger a cancellation email
    2. RESV status will trigger a reservation email
    3. HIST status will trigger an error page and will not trigger an email to the guest
    4. LOST status will trigger an error page and will not trigger an email to the guest 


Using the

Manual

Reservation Email Tool


  1. The Email Tool is available at https://reservations.b4checkin.com/b4-email/admin/

  2. b4checkin provides you with your User name and Password.  



  3. Search reservations by confirmation number, first name, last name, or a combination of the three. 

  4. Select “Load This Reservation” to access the page where emails can be previewed and emailed.



  5. View Email: Enables you to view the email prior to sending.

  6. Send to Guest: Triggers sending to the email address on the reservation. 

  7. Send to Booker: Triggers sending to the individual who booked the room.

  8. Send to Guest/Booker: Triggers sending to both guest and booker emails.

  9. Send to Alternate: Triggers sending to the address entered manually in the address field. Typically used to send a preview copy of the email internally.

  10. Once a Send button is selected, the email is triggered. Sending can be confirmed by accessing the email inbox of the from address, as that email address is copied on all outgoing reservation emails.
